To request materials NOT owned or full-text at the SMSU Library:
(Distance learning students may request SMSU owned materials)


For books, videos, and other materials – Search MnPALS Union Catalog and use the "ILL Request" button (after logon, click "ILL Request" button again) or search MnLINK, and use the “Get It” button. With the click of this button, most of the ILL request form will be completed for you, except for the date needed.

For materials not found in either of the above online catalogs, search WorldCat and initiate an ILL request by clicking on the link below and complete the form.

For journal articles – Search SMSU Library E-Resources for article you want. Use E-Journal Portal to determine if article is full-text in one of the library’s subscription databases or check MnPALS to see if the SMSU Library owns the journal.

If not, initiate ILL request by clicking on the link below and complete the form. Provide a complete citation (journal title, article title, author of article, volume, issue, date, page numbers, source where cited, ISSN, etc.) for each article. Most articles are sent electronically to your SMSU email address.

Receiving ILL materials

Books and other materials borrowed on interlibrary loan must be picked up and checked out, using your SMSU ID card, at the SMSU Library circulation desk on the main floor.

Books and other materials requested by distance learning students will be mailed to them via USPS mail --- the cost is absorbed by the SMSU Library. It is the responsibility of the distance learning student to pay the return postage costs.

Receiving journal articles

“Electronic copy (MEDD)” - Articles are posted to a website and you are notified via your SMSU email address (Subject line: Your Interlibrary Loan Material). Email will include website the article is posted to, along with login information necessary to retrieve the article. Material will be available on the website for 5 viewings or 7 days after email notification, whichever comes first.

“Copy (Photocopy)” - If a lending library sends your article in paper format, it is yours to keep and does not need to be returned.

Returning ILL materials

Books or other items borrowed on interlibrary loan must be returned to the SMSU Library circulation desk on the main floor, or use the book drop on the wall outside the Library. You are responsible for the prompt return and care of borrowed items. Some materials may be renewed, depending on the policies of the lending library.

It is the responsibility of the distance learning student to return their materials to the SMSU Library, Interlibrary Loan Department, 1501 State Street, Marshall, MN 56258. Please package materials securely and send using USPS mail, media rate. NEVER return materials directly to the lending library.

Renewal requests and cancellations

Online renewal requests must be initiated at least 3-5 days prior to the due date. Once the due date has past, you will need to contact ILL staff to request a renewal.

Go to the bottom of the record and click on the Renew or Cancel button to activate.

Loan periods and time required

Lending libraries determine loan periods. Most libraries lend books for 3-4 weeks. Videos and other media generally circulate for a shorter period of time. The due date can be found on the strap attached to the material you borrow or you can view ‘Your Borrowing Record’ on MnPALS.

Turnaround time varies depending on the nature of the material and the location of the lending library. Interlibrary Loan staff will try to process requests with 24 hours, with the exception of unusual, hard-to-find, and incomplete requests. All requests are treated as priority. The “need-by” date does not speed up the process, but rather tells staff how long they should attempt to fill your request.

Materials that can’t be borrowed

Materials that typically do not circulate include recently published books, entire issues of periodicals, reserve or reference materials, rare books or original manuscripts, some dissertations and theses, most Minnesota Historical Society materials, items in special collections (i.e. genealogy materials), bulky or fragile items, and documents available via NetLibrary.

Master's theses and Ph.D. dissertations - loaning practices vary from library to library. Initiate an ILL request for them first, but it’s very possible that borrowing may not be possible. Interlibrary Loan staff will let you know if the item cannot be borrowed and will discuss purchasing options with you.

Borrowing fees

SMSU Library absorbs the cost of obtaining materials through Interlibrary Loan, except in rare cases when the lending library requires prepayment.

Distance learning students

SMSU Library has customized services for distance learning students, providing access to the majority of the resources available to our on-campus students. In order to access Library resources off-campus, you will need to logon with a username (14 digit barcode on SMSU ID, starting with 20103…) and password (your last name).

Use ERIC (Education Resource Information Center) to search for ERIC documents / journal articles. Find title, go to the end of the record, and you will be able to see if it is full-text and printable with Adobe Acrobat Reader . If so, print. If not, to request an ERIC document (i.e. ED457621) click on the link below and complete the form.

Request a Book

For an ERIC journal article (i.e. EJ564218) use E-Journal Portal to find out if it is full-text on one of the library’s subscription databases. If so, print. If not, click on the link below and complete the form. Provide a complete citation (journal title, article title, article author, volume, issue, date, page numbers, source where cited, ISSN, etc.)
